Volunteer Requirement: Swim Meets are one of the most fun parts of Swim team! It takes A LOT of volunteers to make each meet happen and Woodmont relies on parent volunteers. We require each family to earn 6 volunteer points a season. You can earn 1 point for volunteering for half a meet, and 2 points for volunteering for a full meet.


NEW FAMILIES

Families new to swim team do not have to participate in volunteer training.  You can volunteer for the following untrained roles.

Untrained Positions:

  • Timer: Easy beginner position - just push a button and cheer on the swimmers!
  • Runner: Take the timing slips from the Timers and deliver them to the Head Table.  Move papers from Clerk of Course to the Starter and Head Table.  A good position for older siblings.  
  • 8 & Under Parent: Assemble the "8 & under" Swimmers before their events. Help move them through Clerk of Course to the starting blocks. Give ribbons to heat winners.
  • Hospitality: Help sell food and beverages.  
  • Grill Master: Grill burgers and hot dogs for Hospitality.  
  • Clerk of Course - Seating Helper: Help the Swimmers line up in the correct order for their events at the Clerk of Course.
  • Head Table - Computer Assistant: Work at the Head Table upstairs in the A/C.  Assist the computer worker with organizing Swimmer times and entering them into the computer to figure out how the Swimmers placed for each event.  You can step outside as needed to watch your Swimmer!
  • Head Table - Verifier: Work at the Head Table upstairs in the A/C.  Confirm data entry of Swimmers' times on the computer.  You can step outside as needed to watch your swimmer!
  • Meet Set-Up: Move tables and chairs and set up the pool deck before the meet.

RETURNING FAMILIES

Many of the volunteer positions during Swim Meets require training that is conducted by our league, James River Aquatic Club (JRAC). As these positions are integral to making meets happen, we require every returning family to have at least one adult participate in volunteer training (either in-person or via Zoom). A "returning family" is any family that has been on swim team for at least one season.

JRAC Trained Positions:

  • Strokes and Turns Judge: Walk around the pool and closely watch races to ensure fairness & "legal" strokes. Must know the rules (two hand touch, types of kicks, where the body has to be oriented when the feet leave the wall after a turn, etc.). The JRAC training will clarify the rules, but it really helps if you were a Swimmer yourself and understand basic stroke technique. 
  • Referee: Settle any judging disputes, help make the call on postponements due to storms, and oversee the Strokes and Turns Judges.  Strokes & Turns training and experience is required.  Must be comfortable being the decision maker.
  • Clerk of Course: Organize the heats and lane assignments for each event according to league rules. This requires organizational skills and attention to detail. And you get to sit under a tent!
  • Computer: Work at the Head Table to help generate race & overall meet results.  Enter times into the computer to determine how the swimmers placed for each event.  Work upstairs in the A/C for all home meets.  You can step out to cheer on your swimmer for their events.    
  • Head Table: Work as part of a team to generate race & overall meet results. Collect and organize swim times. Work upstairs in the A/C for all home meets. You can step out to cheer on your Swimmer for their events. Good organizational skills and attention to detail are helpful.
  • Starter: Push the buzzer to start each race. Assess readiness at the blocks and signal the start of each heat. This means that you make sure the Swimmers are in the right position.  Must be efficient and comfortable “on stage” talking into a mic.
  • Head Timer: Organize the timers by lane & provide backup timing to cover lane timer errors.

Critical Untrained Positions:

The following positions are key to running a meet, but do not require JRAC training.  Volunteers who commit to these roles are exempt from JRAC training and will be "trained" on-the-job and by shadowing current volunteers (and earning points for it!) at meets.

  • Set-up Lead: Coordinate the set-up of the pool and deck before home meets. Delegate the jobs needed for set-up. Prior set-up experience helpful. (be available from 4-6:30 pm prior to 2-3 home meets)
  • Announcer: MC the event!  No prior experience required.  Just be adaptable, engaging and comfortable on a mic. (available to work both halves of 2-3 home meets)
  • Hospitality Lead: Coordinate hospitality (purchasing, prep, set-up, sales and clean-up).  Prior hospitality experience helpful.  (available for set-up, clean-up, and both halves of 2-3 home meets)
  • Head Runner: Manage the runners who move paper between the timers, Clerk of Course and Head Table during home meets.  No prior experience necessary.  (available to work both halves of 2-3 home meets)
  • Meet Director: Make sure everyone and everything is in its place so the meet runs smoothly.  Work with Volunteer Coordinator and other critical volunteers to troubleshoot problems.  (available to work both halves of 2-3 home meets)
  • Volunteer Coordination Team: Work as part of a team to coordinate volunteer training and sign-ups.  Are you organized and detail oriented?  This might be a good fit for you! (available to work both halves of 3-4 meets)
